How Bitrix24 Helps Business Setup Consultancies and PRO Services Firms Manage Licences, Visas and Renewal Deadlines in One Platform

A business setup consultancy sells one thing and delivers another. The sale is a short conversation about cost, timing and which structure fits. The delivery is a queue of applications, each one waiting on a document somebody else has to produce, each one governed by a date that does not move. The gap between those two activities is where most firms in this sector quietly lose money.
The tooling usually reflects that split. Enquiries live in a phone. Applications live in a spreadsheet of expiry dates that one person maintains. Passport copies, tenancy contracts and signed authorisations live in a shared drive organised by whoever scanned them last. And the actual coordination — chasing a client for a missing page — happens in a chat thread nobody can search six months later. None of it is wrong on day one. All of it breaks at forty active clients.
Bitrix24 is worth a look here not because it was built for company formation work, but because the shape of the problem is the shape it was built for: records that carry dates, jobs that repeat with small variations, documents that need signing, and a lot of inbound messages. What follows is what the platform actually offers, taken from Bitrix24 own product pages, along with what it does not.
One client record instead of a folder, a spreadsheet row and a chat group
Bitrix24 CRM holds leads, contacts, companies and deals, and the client interaction history is saved against those records automatically. That matters more in this sector than in most, because the question you get asked at renewal time is rarely about the current application — it is about what happened two years ago and who signed what. The same account carries file storage, a calendar, online documents and access permissions, so the passport scans and the tenancy contract do not need a separate system with separate sharing rules.
Access permissions are the part worth dwelling on. A PRO services firm handles identity documents for people who are not its employees. Being able to say which consultant sees which client folder is not a nice-to-have, and it is a listed CRM capability rather than an add-on.
A pipeline per service, so a licence renewal never looks like a new formation
A new mainland formation, a free-zone renewal, a visa amendment and a bank account introduction are four different jobs with four different step sequences. Run them in one list and the list becomes a to-do pile. Bitrix24 deals move through pipelines, and tasks can be viewed on a Kanban board, which gives each service its own column structure — enquiry, documents collected, submitted, awaiting approval, issued, closed.

The practical benefit is not prettiness. It is that a stage called awaiting authority response and a stage called awaiting client document are two different problems, and only one of them is your fault. A board separates them at a glance; a spreadsheet does not.
Deadlines that chase themselves
Bitrix24 supports task and project templates, so a recurring piece of work can be saved once and reused instead of rebuilt. For a firm that runs the same eight-step renewal for two hundred clients a year, that is the single highest-value setup decision. Tasks also carry four defined roles — the person who assigned it, the assignee, participants helping out, and observers who need to stay informed — plus reminders and notifications, and their own access permissions.
On the commercial side, recurring deals are a listed CRM feature, which is the natural fit for annual renewals that should reappear on the pipeline without anyone remembering to add them. Combined with workflow automation, also listed as a CRM tool, the renewal calendar stops being a document somebody owns and becomes something the system produces.
The documents get signed where the client record already lives
Bitrix24 Sign is integrated with CRM, and Bitrix24 states that a document sent for signature can have its fields autopopulated from the relevant deal, with reusable document templates saved for repeat use. The platform also lets you automate the preparation-and-signature sequence as a business process — and, in Bitrix24 own words, if the process stalls you can see exactly where.
For engagement letters, authorisation forms and service agreements, that last point is the useful one. The failure mode in this work is not that a document was never sent; it is that nobody noticed it was sent and never came back.
One inbox for the WhatsApp messages the business actually runs on
Bitrix24 Contact Center brings WhatsApp, Telegram, Instagram Direct, live chat, telephony, email, CRM forms and a website widget into one place. Bitrix24 describes the WhatsApp and Telegram connection as an official integration, with support for Instant WhatsApp, and says incoming messages can create leads and deals in CRM automatically. Live chat messages can do the same.

In a market where a prospective client messages a consultant personal number at nine in the evening, the value of this is retention of context rather than speed. The conversation survives the consultant leaving.
Internal approvals without a second system
Bitrix24 workflow automation and RPA cover standard approval processes, and Bitrix24 ships default workflows for leave approval, business trips, general requests, purchase requests and expense reports. It states that setting up an automated workflow requires no coding, and that workflow stages show progress from request through each approver to completion.
For a consultancy, the same mechanism carries fee approvals, government-payment disbursements and refund requests — the internal steps that currently happen as a message to a manager and are therefore invisible the moment that manager is on leave.
What it costs
Bitrix24 pricing is per organisation rather than per seat, which suits firms with a lot of light-touch users. At the time of writing, Bitrix24 lists Basic Vibe+ at US$59 per organisation per month billed annually (US$89 monthly) for 5 users, Standard Vibe+ at US$120 for 50 users, Professional Vibe+ at US$240 for 100 users, and Enterprise Vibe+ at US$480 for 250 users. Worth noting for this sector: task automation, RPA and HR management tools appear in the Professional Vibe+ feature list rather than the entry tier, so the plan choice is driven by automation, not by headcount.
The honest limits
Bitrix24 is not a licensing or immigration system. It has no knowledge of any jurisdiction rules, no connection to any government portal, and no built-in understanding of what a given licence category requires. Every stage name, document checklist and renewal interval is something you define. Nothing on Bitrix24 pages suggests otherwise, and any partner who implies it does is overselling.
It is also a configuration job rather than an installation. The default account gives you a generic sales CRM; the value in this sector comes entirely from the pipelines, templates and automation rules you build on top of it. Firms that sign up, look at the default screen and conclude it does not fit are usually right about the default screen and wrong about the platform.
Where a partner comes in
The work that makes this stick is unglamorous: mapping each service to its own pipeline, writing the task templates for the sequences you actually run, setting the reminder offsets so a renewal surfaces while there is still time to act on it, wiring the Contact Center channels to the right consultants, and setting document permissions so identity documents are not visible account-wide. It is a few days of decisions, and it is the difference between a CRM the team uses and one it works around.
